POSITION SUMMARY
Based in Jakarta, Indonesia, the Finance and Operations Assistant will support GGGI Indonesia Country Office on finance, accounting and operational activities in compliance with the requirements, rules, and systems established by GGGI and its donors. The position holder will play a critical role in managing bookkeeping tasks and providing support on financial functions within GGGI Indonesia’s Finance and Corporate Services Unit.
The position assists the implementation of finance and corporate services pertaining to financial administration and management of GGGI’s work in Indonesia to ensure effective delivery and success in-country operations. S/he will work within the premises of the GGGI Indonesia Country Office, and report to the Sr. Finance Associate. The Finance and Operations Assistant will be responsible for executing and documenting various financial transactions, in particular for transactions below IDR 5 million. Additionally, ensuring the proper coordination of financial coding for these transactions will be a key part of the position holder’s daily routine.
PURPOSE
This position carries out financial and administrative work to support and ensure that financial management of projects within the Indonesia Country Office is carried out effectively and in compliance with relevant rules and policies. The position undertakes accounting transactions according to the general principles of accounting and GGGI accounting manual and provide day to day administration support for the successful implementation of the projects as required.
ENGAGEMENT
- Working closely with the Sr. Finance Associate, ensure all transactions are recorded properly and in compliance with GGGI regulations.
- Manage and maintain an efficient and complete filing system, database, and documentation related to Finance.
- Work as part of GGGI Indonesia’s Finance and Corporate Services Unit and ensure full compliance with GGGI’s regulations, rules, and procedures.
- Support the program implementation in all aspects related to financial monitoring, budgeting, and administration.
- Support hiring processes of staff and consultants in compliance with GGGI’s Rules and Regulations, and internal systems set up to conduct the process.
DELIVERY
- Financial Record Management: Ensure accurate financial record-keeping and organize essential documents for audit and compliance purposes.
- Petty Cash Management: Review and reconcile petty cash transactions across various locations.
- Travel Expenses: Prepare and reconcile monthly travel expense reports.
- Fund Requests: Assist in reviewing and compiling fund requests for approval.
- Cash Advances: Support the review and reconciliation of cash advance requests and settlements.
- Asset Verification & Documentation: Conduct regular physical asset verification across all locations to ensure proper tracking and recording.
- Expense Verification: Assist in reviewing employee expense reports to confirm compliance with financial policies and regulations.
- Payment Processing: Prepare weekly payment schedules and ensure timely uploads in the e-banking system.
- Budget Activation: Assist in preparing and uploading budget activation entries in the ERP system, ensuring alignment with financial plans.
- Internal Controls & Compliance: Ensure compliance with internal financial controls, policies, and regulatory requirements to maintain financial integrity.
REQUIREMENTS
QUALIFICATIONS
- A bachelor’s degree in finance, accounting, or business administration or a related field.
- Preferably at least one year of relevant work experience.
- Strong understanding of basic accounting principles.
- Experience working with Indonesian government agencies is highly desirable.
- Experience in international organizations is considered an advantage.
- Familiarity with ERP systems, project support, and administrative tasks is beneficial.
- Experience in the procurement process for goods and services.
- Proficiency in both Indonesian and English is required.

WORKING CONDITIONS
- Operation Finance Assistant is an X4 grade level in GGGI’s National salary scale. Determination of base salary is subject to candidate's experience, academic background, and internal equity.
- GGGI provides 15% of base salary towards retirement plan/long-term savings, 27 days of annual leave, and private health insurance that covers dental and vision.

- The chosen candidate is expected to be based in Jakarta, Indonesia and will report directly to the Sr. Finance Associate of the GGGI Indonesia (also based in Jakarta).
