POSITION SUMMARY
The Senior Project Assistant will be embedded in the Regional Pacific NDC Hub office in Suva for up to four days a week and the GGGI regional office for the remaining time. S/he will report to the Pacific NDC Hub Project Coordinator. The role involves the integrating and delivering enabling services pertaining to administrative, travel, conference, procurement, human resources and acquisitions management facilitation of the implementation of Nationally Determined Contributions (NDCs) in the Pacific, concentrating on emission reductions and fostering resilience, along with economic, environmental, and social benefits.
PURPOSE
The Senior Project Assistant is responsible for supporting key project management processes under the Regional Pacific NDC Hub project, including assisting relevant work in other Pacific offices. This role involves close collaboration with the GGGI project team to execute NDC Hub country requests and regional projects. The Associate ensures compliance with rules, guidelines, and entitlements, while addressing operational issues with effective solutions. They play a critical role in implementing country requests led by GGGI, promoting a client-oriented approach, and supporting communication activities such as donor and annual reporting. By streamlining processes and maintaining consistency with GGGI standards, the Associate helps advance the objectives of the NDC Hub and its projects.
ENGAGEMENT
- Supports the Pacific NDC Hub Project Coordinator with effective project management and reporting to donors.
- Supports program implementation in coordinating with consultants and leading on ESS and GESI elements of the NDC Hub requests
- Supports and maintain relationships with service and goods' providers/vendors.
- Assists the team in record-keeping in compliance with GGGI and donor requirements.
- Explains logistics procedures and requirements in line with GGGI rules and regulations for all relevant matters to NDC Hub GGGI team members and NDC Hub partners.
- Supports in carrying out communications of activities and results, including donor and annual reporting.
- Assesses delivery issues and works with national counterparts to build common understanding and coordination on project activities
DELIVERY
- Understands the project cycle and can organize his/her work to ensure that deliverables are provided in a timely manner to support subsequent work and consistent with the workplan and project cycle
- Maintains project filing system online (using tools such as SharePoint) and safeguard standards of reporting/documentary quality to support reporting to donors and project stakeholders
- Supports in organizing events and logistics, including travel arrangements, and creates post-event evaluations and meeting minutes.
- Writing press releases and social media toolkits to increase the Projects visibility
- Attends meetings when necessary.
- Assists onboarding of new staff.
- Aids in the development of trainings for Fiji and Regional staff.
- Supports wellbeing activities like coordinating birthday celebrations, active breaks, and promoting work ergonomics.
- Takes responsibility for day-to-day administration activities as needed.
- Performs other administrative support as required and when required to support the Regional Office and the Pacific NDC Hub Project Coordinator
- Assists GGGI Pacific comss team to write press releases for events and/or assists to receive clearance internally and from partners
REQUIREMENTS
QUALIFICATIONS
- Bachelor’s degree in any one of the following: business administration, management & public administration, environmental or development studies or in relevant fields is a must;
- At least 2 - 3 years of relevant professional experience preferably in international organizations at the local level.
- Experience in project management and reporting of donor funded projects is essential
- Experience in organising workshops and logistics, including travel of participants is essential
- Experience of government and stakeholder systems (donor, multilateral, etc)
- Experience/knowledge of green growth, climate change issues and sustainable development would be an advantage
- Experience in writing press releases, communicating professionally on social media would be an advantage
- Excellent level of proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint and online tools (e.g Sharepoint, MS Teams etc).
- Fluency in English and excellent writing skills are essential
- Must be a Fiji Citizen or a foreigner holding a valid Work Visa.

WORKING CONDITIONS
This is a National Position at X5 grade level in GGGI’s Fiji National salary scale and does not include any relocation benefits. The salary range for the position is USD 15,658 – 23,487 per annum and offers will be made depending on qualifications and experience. ABOUT THE PROGRAM
GGGI is an implementation partner of the Regional Pacific NDC Hub, established in response to calls from Pacific leaders for a regional facility to support countries in meeting the goals of the Paris Agreement. The NDC Hub's overall objective is to support Pacific Island Countries (PICTs) in reviewing, enhancing, and implementing their climate commitments. Supporting PICs in achieving their climate targets contributes to sustainable and resilient development and promotes a transition to a low-carbon development pathway in the Pacific.
The NDC Hub implements its activities with financial support from the European Union (EU), Federal Ministry for Economic Cooperation and Development (BMZ) of Germany, the Department of Foreign Affairs and Trade (DFAT) of Australia and the Ministry for Foreign Affairs and Trade (MFAT) of New Zealand. The NDC Hub delivers a range of services to member countries through its four implementation partners, GGGI, Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ), the Pacific Community – SPC and the Secretariat of the Pacific Regional Environment Programme (SPREP).
Through the Regional Pacific NDC Hub, GGGI provides technical support to its 14 member countries, including Cook Islands, Federated States of Micronesia, Fiji, Kiribati, Marshall Islands, Palau, Papua New Guinea, Nauru, Niue, Samoa, Solomon Islands, Tonga, Tuvalu, and Vanuatu. During Phase IV, GGGI is addressing several country requests to support NDC implementation, capacity building, and strengthening institutional settings. To coordinate these efforts, GGGI is recruiting a Senior Project Assistant to support the project implementation of the Regional Pacific NDC Hub project activities in PICs. This role includes coordinating information and data collection, arranging stakeholder meetings, organizing consultations and workshops, and ensuring the delivery of submission-ready final reports.
